Important Information for Registered Saudi Arabian Graduate Students

The Western University community is deeply saddened that you must leave Canada.

Although this situation is beyond our control, you are all Western students, and we will work with you to ensure your accomplishments to date are recognized in some manner.  We ask that each of you speak to your thesis supervisor and Graduate Chair before you depart so that we can make sure you're getting the maximum benefit from your graduate work here.

As a Saudi Arabian student currently registered in one of Western's graduate programs, you have four options:

Option #1:  You are a student who is finishing (or has finished) your degree by August 31, 2018.

  • You can request that your diploma is printed early using the Early Release of Degree Form found at http://www.registrar.uwo.ca/student_records/diplomas.html (rather than wait until October). NOTE: your degree will officially be awarded in October and this will appear on the diploma, but you can obtain your diploma early.
  • You should indicate on the Early Release of Degree Form that you are a Saudi student and Student Records will verify this. You do not need to provide payment information if you are requesting to pick up your degree in person. If no payment information is included, you can send in the form by email to leeann.mckivor@uwo.ca, it can be faxed to 519-661-3388, or you can bring it in person to Student Records, WSSB Room #2140. Student Records will do their best to generate your degree as quickly as possible; however, the process may take up to one week. If you want your diploma to be sent via courier, please follow the Diploma Mailing instructions located at http://www.registrar.uwo.ca/student_records/diplomas.html (Payment information should be included for the courier fees).

Option #2:  You are a student who has met the bulk of your degree requirements but has not fully completed.

If you have not already done so, please speak with your thesis supervisor and Graduate Chair in your program immediately.

  • Your academic requirements may be waived/replaced/modified as appropriate to meet the degree requirements; you might be able to obtain a "lesser" degree; and expedited/remote thesis examination is possible.

Option #3:  You are a student who intends to apply for admission and resume your study at another University.

If you have not already done so, please speak with your thesis supervisor and Graduate Chair in your program immediately.

You may want to:

  • meet with someone at Western International for advice about your study permit/visa.
  • consider any impact to Research Ethics approvals.
  • request a letter from your graduate program describing your program requirements completed and program requirements remaining, including courses and milestones, topic of research, research progress to date, and research to be completed.
  • request your Western transcript from the Office of the Registrar (transcript ordering fees will be waived).  You can either request your transcript in person at Student Central or by using the Transcript Request Form found at http://www.registrar.uwo.ca/student_records/transcripts/ordering_options.html. You should not use the online ordering system.  If requesting in person, you should identify yourself as a Saudi student and the Registrar’s Office will verify this.  Likewise, if requesting using the form, you should indicate on the form that you are a Saudi student and the Registrar’s Office will verify this.  You do not need to provide payment information if you are requesting to have the form sent via regular mail. If no payment information is included, the form can be sent via email to contact@uwo.ca. If you want the transcript to be sent via courier or fax, then payment information should be included for the courier/fax fees. The form can be faxed to 519-850-2397.

Option #4:  You are a student who is not close to meeting the requirements to finish your degree.

If you have not already done so, please speak with your thesis supervisor and Graduate Chair in your program immediately.

You may want to:

  • voluntarily discontinue your studies.  This means that your registration has been discontinued officially at Western. This change does not appear on your official transcript.
  • voluntarily withdrawal.  This means that you have officially withdrawn from Western. This change does appear on your official transcript.

Please note that both options above ensure that you are able to apply for readmission at a future date.
