Final Submission

Submitting the Final Copy of Your Thesis

Once your thesis examination has been successfully completed and all required changes have been approved by your examination board, you must submit the final version of your thesis through the Western University Open Repository.

Please note: All revisions and your final thesis submission are due 6 weeks after a successful thesis examination.

Your final submission must include:

  • The final version of your thesis with all recommended changes completed
  • Any supplemental content you wish to include for publication

How to Deposit Your Thesis

Important: This stage occurs only after you have passed your thesis examination and completed all revisions required by the Thesis Examination Board.

Submitting to the repository before your examination or before your revisions are approved could delay the completion of your degree.

1. Download the most recent approved version of your thesis from Scholarship@Western including your title page.

2. Visit: https://uwo.scholaris.ca.

3. Log in using your Western credentials.

4. Click the "+" button on the left-hand menu, then select "New".

5. From the list, choose "Item".

6. Select the "Theses" option.

7. Complete the metadata form and upload your thesis and any supplementary files.

Important Metadata Guidelines

Please ensure the following information is accurate:

Name Format:
Family name, Given names
Example: Gillani, Nafisa

Date of Issue:
Use the date of your successful thesis examination.

Filename Format:
lastname_firstname_degree_year_thesis.pdf
Example: gillani_nafisa_mph_2019_thesis.pdf

  • SGPS recommends uploading your thesis as a PDF whenever possible.
  • For supplemental files: lastname_firstname_degree_year_filedescription

Embargo Requests:
If you require an embargo, include the requested embargo end date in the Notes section.

After completing the metadata and uploading your files, click the +Deposit button. SGPS will review and publish your thesis as soon as possible.

PLEASE NOTE: Your thesis requirement is not complete until your thesis is successfully deposited and published in the Theses repository.


Publication

Once your final submission is reviewed and approved, the Thesis Coordinator will ensure your thesis meets all formatting requirements. After approval:

  • Your thesis is published immediately in the repository
  • You will receive email confirmation
  • Your supervisor and program administrator will also be notified

After publication, you have officially completed the thesis requirement for your degree. Subject to University Senate approval, your name will be added to the convocation list.
